Sharing a workspace

You can share a workspace using one of the following options:

  • Start a class and then open a workspace to share the workspace when you're connected to a class.

    Notes 

    • Use this feature to share the workspace with participants in the current class or in any class in your SMART amp account.

    • You can share a workspace with an imported Google class that has a class list including students from your domain and students from another domain.

    • You can set participants to having no access, or allow edit or view only access to the workspace you are sharing.

    • If you're not connected to a class and you need to hand out copies or run an assessment, you can quickly connect to a class by tapping Not in a class in the top left area of your workspace and selecting a class. See Starting or connecting to a class for more detail.

  • Tap Go from Go to workspaces on the homepage to open the list of workspaces, and then open a workspace to share the workspace when you're not connected to a class.

    Notes 

    • Use this feature to create or edit a workspace without starting a class.

    • If you create a new workspace in a class you imported from Google Classroom, you can open the workspace when not connected to a class from the Classroom folder.

      Example 

      1. My Drive > Classroom > English110A > WorkspaceName.ws
    • If you're not connected to a class and you need to hand out copies or run an assessment, you can quickly connect to a class by tapping Not in a class in the top left area of your workspace and selecting a class. See Starting or connecting to a class for more detail.

  • Share a workspace by emailing a link to their Gmail account or their Google Apps for Education (GAFE) email. You can even share with people who don't have a SMART amp account.

    Notes 

    • Use this feature to share a student workspace with a parent or another teacher who don't have a SMART amp subscription.

    • If email recipient doesn't have a SMART amp subscription, they can only view the workspace you are sharing.

ClosedTo share a workspace when connected or not connected to a class

  1. Open a workspace.

  2. Tap the SharingCollaboration tab tab.

    The Sharing pane appears.

  3. Tap Share.

    The Share workspace dialog box appears.

  4. Tap SMART amp Class .

  5. Tap Next. The Share workspace dialog box refreshes with Choose a class details.

  6. Choose a class:

    Option when connected to a class

    Description

    Current class

    Share the workspace with all participants in the current class, regardless of whether they’re online.

    Other class names in your SMART amp account

    Share the workspace with participants in another class, regardless of whether they’re online.

    Option when not connected to a class

     

    Select class - you need to select a class

    Share the workspace with participants in any class, regardless of whether they’re online.

  7. Select participants with whom you share the class:

    Option when connected to a class

    Description

    Everyone in "current class name"

    Share the workspace with all participants in the current class, regardless of whether they’re online.

    Individual participants in "current class name"

    Share the workspace with participants you select, regardless of whether they’re online.

    Option when not connected to a class

     

    Everyone in selected class

    Share the workspace with all participants in the class, regardless of whether they’re online.

    Individual participants in selected class

    Share the workspace with participants you select, regardless of whether they’re online.

  8. Select additional sharing options:

    Option when connected to a class

    Description

    Automatically bring the selected students into the workspace with Can View

    Students attending the class are automatically active in the shared workspace but are in View Only mode.

    Automatically bring the selected students into the workspace with Can Edit

    Students attending the class are automatically active in the shared workspace and can collaborate immediately.

    Turn on the Follow Me feature so that I can present to my participants

    Allows you to direct students’ attention to specific areas of the workspace as soon as you share it. For more information on this feature, see Using the Follow Me feature

    Can View

    Students can navigate the workspace but can't make changes.

    Can Edit

    Students can both navigate and make changes to the workspace,

    No Access

    Students have no access to the workspace.

    Students have no access to the workspace.

    Notes 

    • If you're not connected to a class and you want to use options available when connected to a class, tap Not in a class on the workspace toolbar and select a class. See Starting or connecting to a class for more detail.

    • If you select the Can Edit option, students become active in the workspace immediately after you complete this step. If they’re working in a different workspace, the new workspace opens on their screens automatically. If you don’t select this option, students can access workspaces shared with them through the class dashboard.

    • If you select the Follow Me and Can Edit options, students are able to make changes to the workspace only after you end the Follow me session.

    • When you share a workspace with a student, the student's name appears in the Participants list.

ClosedTo share a workspace through Google Classroom when connected to an imported Google class

Teachers and students can share a workspace through Google Classroom when they’re connected to an imported Google class.

  1. Connect to a class that has a Google Classroom icon .

  2. Open a workspace.

  3. Tap the SharingCollaboration tab tab.

    The Sharing pane appears.

    Note 

    1. You can also share a workspace through the class’s dashboard Create and Share tab. Locate the workspace in the list of files, select its checkbox, and then tap Share.
  4. Tap Share.

    The Share workspace dialog box opens.

  5. Tap Google Classroom.

  6. Tap Next.

    The Share workspace dialog box refreshes with a Google Classroom icon .

  7. Tap the Google Classroom icon.

    The Classroom by Google window opens.

  8. Choose a class, choose an action, and then tap GO.

  9. Add any required details. These details will vary depending on the action you chose.

  10. Tap ASSIGN, or tap the ASSIGN drop-down to select Assign, Schedule, or Draft.

    The Classroom by Google window refreshes.

  11. Tap VIEW to open the Google Classroom class.

    • The action you completed in the previous steps appears in the class’s STREAM tab with the workspace attached.
    • Students and other teachers with access to your class can tap the attached workspace to open i in SMART amp software.

ClosedTo share a workspace through an email

  1. Tap the Share tab.

    The Sharing pane opens.

  2. Tap Share.

    The Share workspace dialog box opens.

  3. Tap Email.

  4. Tap Next.

    The Share workspace dialog box refreshes with Choose a class details.

    The Email workspace to options open, with Can Edit selected by default.

  5. Select Can View from the list if you prefer.

    Note 

    1. Your email recipients can edit the workspace if they have a active SMART amp subscription.
  6. Type the email addresses of participants with whom you'd like to share the workspace, separating each address with a space.

    Notes 

    • You can share with Gmail or GAFE account users.
    • Recipients whose email addresses aren't linked to a Google account are asked to create a Google account linked to that email.

  7. Tap Add a note to open the text box to add custom text to the email.

  8. Tap Expand to see who you've shared the workspace with and to change their edit/view status.

  9. Tap OK when you're done.

ClosedTo open a shared workspace from an email (Gmail or GAFE account user) when you don't have a SMART amp subscription

  1. Sign in to your Gmail or GAFE account and locate the shared email:

    • Email sender: " 'Teacher's name' (via Google Drive)"

    • Email content:

      Note 

      1. If your email address is not a Gmail or GAFE account, you're asked to create one in the next step

  2. Tap the filename or Open.

    The Connected apps window opens.

  3. Tap .

    The smartamp.com page opens.

  4. Tap .

    The workspace opens in View access mode.

  5. Close the window when you are done.
  6. Notes 

    • Use the zoom tool to open the radar view and zoom in and out on the workspace as needed.

    • Tap the amp icon to open the workspace dashboard (see Step 3).

    • You see any updates to the workspace in real time.

    • If you Sign out of the workspace instead of only closing the window, you’re also signed out of your Gmail or GAFE account. If you want to access the emailed workspace link again, you'll need to sign back into your account.

ClosedTo open a shared workspace from an email (Gmail or GAFE account user) when you have a SMART amp subscription

  1. Go to your Gmail or GAFE account and locate the shared email:

    • Email sender: " 'Teacher's name' (via Google Drive)"

    • Email content:

  2. Tap the filename or Open.

    The Connected apps window opens.

  3. Tap .

    If you are signed in to your SMART amp account, the workspace opens.

    OR

    If you are not signed in to your SMART amp account, the smartamp.com page opens. Tap and sign in, and then the workspace opens.

  4. A Choose a Class window opens.

  5. Tap the class you want to connect to, and then tap Switch.

    The workspace refreshes and the class name you connected to appears on the workspace toolbar. When you're in the workspace, you can switch the class you're connected to at any time. See Switching classes.

  6. Notes 

    • When you open the workspace, you may have edit access or be in View Access only, depending on the access the sender selected for you.

    • If you have View Access, use the zoom tool to open the radar view and zoom in and out on the workspace as needed.

    • Tap the amp icon to open the workspace dashboard (see Step 3).

    • You see any updates to the workspace in real time.
